Back-to-back meetings: fill the gaps and finish earlier

To avoid wasted time between back-to-back meetings, give each call a clear duration, keep the next participants informed as calls progress, and invite whoever is ready to start as soon as a call ends early. TalkTime does this coordination for you: it spots each gap in real time and notifies your Guests.

Why gaps appear between back-to-back meetings

  • A call ends earlier than planned: the next slot is still 10 or 15 minutes away.
  • Someone runs late: everyone after them waits, or the day slides.
  • The next person is not ready: you wait for a reply to “Can you start now?”.

With a fixed calendar, the time between the actual end of one call and the planned start of the next is lost. Over a full afternoon of one-to-one calls, these small gaps add up.

5 ways to reduce gaps without new tools

  1. Agree on a duration at the start of each call, and stick to it.
  2. Order calls by flexibility: put people who can start at short notice right after the calls most likely to end early.
  3. Warn the next person a few minutes before the end of the current call.
  4. Keep one short buffer mid-sequence rather than after every call.
  5. Send a message instead of a call when information can be read later: live calls vs messaging.

The hard part is the third step: asking each person, at the right moment, whether they can start earlier. Estimate what your gaps cost →

How TalkTime fills the gaps in real time

  1. Choose your Guests: as the organizer (Owner), select the people you want to speak with and share your meeting link.
  2. Availability stays in sync: interactive notifications answer “When are you free?” for you, from the first call to the last.
  3. Fill the Gap: when a call ends early, the anti-gap algorithm prompts available Guests to start earlier, so you can finish your sequence sooner.

Example: Jamie hangs up at 14:15 instead of 14:30. A 15-minute gap opens and one notification reaches Alex and Sam at once; whoever is free can start right away. Watch the demo, Owner and Guests side →

Calls take place through your phone or WhatsApp, on iPhone and Android. A musical notification helps end each call at the time you chose. Time saved depends on your Guests’ availability.

FAQ

Does TalkTime move my meetings automatically?

No. TalkTime identifies Gaps in real time and notifies your Guests. A Gap is filled only if a Guest can start earlier, so time saved is not guaranteed.

Do my Guests need the app?

Yes. For coordinated meetings, Guests use TalkTime to receive and reply to availability notifications. Calls still take place through your phone or WhatsApp.

Is TalkTime free?

TalkTime is free to download. Hosting meetings as an Owner requires Premium or an eligible trial. Check the app for current options and prices.
